1. Information We Collect

When you use EzApply, we collect information you provide directly:

• Account information: Name, email address, and password
• Profile data: Work experience, education, skills, certifications, projects, languages, phone number, location, and professional links
• Job data: Job descriptions and URLs you provide for resume tailoring
• Generated content: Resumes and cover letters created through the Service
• Contact inquiries: Name, email, and message content when you contact us

We also collect information automatically:

• Usage data: Pages visited, features used, search queries, and interactions with job listings
• Device information: Browser type, operating system, and IP address
• Cookies: Authentication cookies managed by Supabase for session management

2. How We Use Your Information

• Generate tailored resumes and cover letters based on your profile and job descriptions
• Provide keyword match scoring and ATS analysis
• Maintain and improve the Service
• Analyze usage patterns to improve features and user experience
• Communicate with you about your account and respond to inquiries
• Detect and prevent fraud, abuse, and security threats

3. AI Processing

To generate tailored resumes and cover letters, your profile data and job descriptions are sent to OpenAI's API for processing. OpenAI processes this data according to their API data usage policy — data sent via the API is not used to train their models and is retained for a limited period for abuse monitoring before being deleted. We do not share more data with OpenAI than is necessary to provide the Service.

4. Data Storage & Security

Your data is stored in a PostgreSQL database hosted by Supabase with encryption in transit (TLS) and at rest. Authentication is handled through Supabase Auth with secure, httpOnly cookies. We implement industry-standard security measures to protect your data, but no method of transmission over the Internet is 100% secure.

5. Third-Party Services

We use the following third-party services to operate EzApply:

• Supabase: Database hosting, authentication, and file storage
• OpenAI: AI-powered resume and cover letter generation
• Vercel: Application hosting and deployment
• Stripe: Payment processing (if applicable)

Each service processes data according to their own privacy policies and data processing agreements.

6. Data Retention

We retain your data for as long as your account is active. If you delete your account, all associated data — including your profile, resumes, cover letters, and activity history — will be permanently deleted. Certain anonymized, aggregated data may be retained for analytics purposes.

7. Your Rights

You have the right to:

• Access: Request a copy of the personal data we hold about you
• Correction: Update or correct inaccurate information through your profile settings
• Deletion: Delete your account and all associated data at any time
• Export: Download your resumes in PDF or DOCX format
• Restriction: Request that we limit the processing of your personal data

8. Children's Privacy

EzApply is not intended for users under the age of 16. We do not knowingly collect personal information from children under 16. If we become aware that we have collected data from a child under 16, we will take steps to delete that information promptly.

9. International Users (GDPR)

If you are located in the European Economic Area (EEA), you have additional rights under the General Data Protection Regulation (GDPR), including the right to data portability, the right to object to processing, and the right to lodge a complaint with a supervisory authority. Our legal basis for processing your personal data is your consent (provided when you create an account) and our legitimate interest in operating and improving the Service.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting a notice on the Service or sending an email to your registered address. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
